PMS for Short-Term Rentals, Serviced Apartments & B&Bs — Manage Multiple Units from One System

Zitlin is not limited to properties with a fixed front desk or a traditional hotel structure. STR operators managing 10, 20, or 30 separate apartments — each with its own Airbnb listing, its own Booking.com calendar, and its own set of guests — use Zitlin as the single system across all units.

Each unit gets its own availability calendar, its own iCal sync URL, and its own direct booking page. You see all of them from one screen. Bookings from OTAs, direct bookings, and walk-ins all land in the same place. Availability propagates out to every connected channel automatically.

This page covers how Zitlin works for short-term rental operators, B&B owners, and day-use or hourly-booking properties — not just full-service hotels.

Zitlin works for STR operators managing 5 to 50 apartments, B&B owners, guesthouse operators, and day-use properties — not just traditional hotels. Multi-unit calendar, iCal OTA sync.

The Problem with Managing Multiple STR Units Separately

If you manage 15 studio apartments each listed individually on Airbnb, your default workflow involves logging into each listing separately, manually blocking dates when a direct booking comes in, and hoping no two bookings land on the same unit at the same time.

OTA platforms are designed around individual listings. They have no concept of a portfolio. A host with 20 apartments is operating 20 separate systems with no shared state. Every direct booking, every agent call, every WhatsApp confirmation is a manual update across all of them.

Zitlin models your portfolio the way it actually works — as a collection of distinct units under one operator. The calendar is a grid. All units, all dates, one view.

Multi-Unit Calendar — All Properties in One View

The Zitlin booking calendar shows all your units across all dates simultaneously. Confirmed reservations, OTA-blocked periods, manual holds, and open windows are all visible at once. You can filter by unit, by source (Airbnb, direct, walk-in), or by arrival date.

For a B&B owner with 8 rooms, this replaces a whiteboard or a pinned spreadsheet. For an STR operator with 25 apartments across two buildings, it replaces a daily coordination routine that no longer scales.

iCal Sync — One URL Per Unit, Connected to Every OTA

Every unit in Zitlin has its own iCal export URL. You paste it into Airbnb's calendar import field, Booking.com's equivalent, and anywhere else that accepts iCal subscriptions. From that point:

  • A reservation confirmed in Zitlin blocks the dates on every connected OTA automatically
  • A booking that comes in through Airbnb syncs into Zitlin and blocks availability for that unit
  • An offline agent who subscribes to the iCal link in Google Calendar sees live availability without needing a system login This is how double bookings stop happening. Every channel — OTA, direct, agent — reads from the same source of truth.

Supported iCal sync scenarios:

Direction What happens
Zitlin → Airbnb Direct or walk-in booking in Zitlin blocks dates on Airbnb
Zitlin → Booking.com Same — availability stays consistent across OTAs
Airbnb → Zitlin OTA booking appears in Zitlin, unit marked unavailable
Booking.com → Zitlin Same — all OTA reservations visible in one calendar
Zitlin → offline travel agent Agent subscribes to iCal link in Google Calendar or Outlook, sees live availability

iCal sync is available on the Pro plan.

Hourly and Day-Use Bookings

Zitlin supports hourly and day-use bookings natively — a feature most PMS systems do not offer. This is useful for:

  • Serviced apartments offering short daytime check-ins for transit passengers
  • B&Bs filling gaps between overnight stays with half-day or 4-hour bookings
  • Guesthouses near airports or transport hubs catering to layover guests
  • Any property that wants to monetise room availability during typical vacancy windows For Indian properties, GST on hourly bookings is calculated on the equivalent nightly tariff, not the hourly amount charged — in line with GST Council rules. Zitlin handles this automatically.

Invoicing for STR Operators — GST, Non-GST, and Multi-Country

STR operators and B&B owners in India frequently fall below the GST registration threshold. If your annual turnover is below ₹20 lakh (₹10 lakh for special category states), you are not required to register and should not show GST on invoices.

Zitlin generates clean invoices without GST fields for non-registered properties. For registered operators, GST is calculated automatically per the room tariff slab:

Room Tariff Per Night GST Rate
Below ₹1,000 0%
₹1,001 to ₹7,500 5%
Above ₹7,500 18%

Each unit's declared tariff determines its own GST rate. Advance deposits are recorded without GST. The final invoice at checkout carries the correct calculation. If your registration status changes, update it once in settings — all future invoices reflect the change.

For properties in Sri Lanka, Nepal, Bangladesh, and Southeast Asian markets, Zitlin supports local VAT invoicing in addition to Indian GST.

Restaurant and Breakfast Service

If your B&B includes breakfast, your serviced apartment complex has a café, or your guesthouse takes food orders — Zitlin handles restaurant and room service operations in the same system. Food orders attach directly to a guest's folio. The checkout invoice combines accommodation and food charges automatically. No separate billing system. No reconciliation at end of day.

This is the feature that distinguishes Zitlin from STR-only tools like Airbnb's native management or channel managers that handle OTA sync but nothing else.

Direct Bookings — 0% Commission

Zitlin gives each property a direct booking page. Guests book without going through an OTA. Reservations land in Zitlin, availability updates, and connected OTA calendars sync. No per-booking commission.

For STR operators in India and South Asia where a significant share of bookings comes through referrals, repeat guests, or local travel agents, a direct booking page paired with iCal sync reduces OTA dependency without creating a separate management workflow.

Payments — UPI, QR, and Digital

Accept UPI, QR payments (UPI / VietQR / QRIS / DuitNow / ThaiQR / SGQR / QR Ph / SEPA), card, and cash. Record payment method per transaction. Split settlements across multiple payment types on a single folio.

Frequently Asked Questions

Is Zitlin only for hotels with a front desk and staff? No. Zitlin works for solo operators managing multiple apartments without any on-site staff. The system does not require a front desk workflow — you can run it entirely from a phone or laptop, creating reservations, syncing OTA calendars, and generating invoices remotely.

Does each apartment need its own iCal URL? Yes — and this is the correct approach. Each unit has its own Airbnb listing and its own calendar. Zitlin generates one iCal URL per unit. You paste the relevant URL into each OTA listing. This keeps availability accurate at the unit level.

Can I manage apartments in different cities from one account? Yes. Multi-property support is not limited by geography. You can manage units across different cities or states under one account, with independent settings per property.

Does Zitlin work if I only take direct bookings and have no OTA listings? Yes. iCal sync is optional. Zitlin works as a standalone booking and invoice management system for direct bookings with no OTA connection.

How does Zitlin compare to just using Airbnb's built-in tools? Airbnb's host tools manage your Airbnb listings. They do not connect to Booking.com, they do not handle direct bookings, they do not generate GST invoices, and they do not support restaurant billing. Zitlin sits above all your channels and connects them.

Can I share availability with an offline travel agent without giving them a system login? Yes. Share the iCal link for a unit with the agent. They subscribe in Google Calendar or Outlook and see live availability. They cannot create or modify reservations — the link is read-only.

Is there a limit on the number of properties I can add? No hard cap at typical STR portfolio sizes. Contact us if you are managing more than 50 units.

Does Zitlin support non-GST properties? Yes. Non-GST registered properties generate invoices without GST fields. You select your registration status once during setup. If it changes, you update it once and all future invoices reflect the correct format.
